COVID 19 PROCEDURE

COVID Fit for Work Screening + Patient Wellness Checklist 

  • Do you feel well today?
  • Do you have a fever, chills, cough, shortness or breath, sore throat, loss of smell, or difficulty breathing? (asthma and allergies are fine)
  • Have you been sick or had any of these symptoms in the last 14 days?
  • Have you been in contact with anyone who was sick or had any of these symptoms in the last 14 days?
  • Have you or anyone you have been in close contact with travelled outside BC  in the last 14 days?

Cleaning Procedure

  • Do NOT touch your face
  • Do NOT touch curtains – use clips attached to edge of front curtain
  • Leave curtains between beds as is, to maintain barrier between beds (only move the front one if necessary)
  • Strip linens including pillowcases, blanket, and towel and place in laundry
  • Disinfect the bed, knee pillow, curtain clip, stool, and chair handles
  • Disinfect any tools used with spray and wipes
  • Disinfect door handles and drawer handles
  • Disinfect any gym equipment used that was not cleaned by practitioner
  • Therabands in crate – wash in sink with warm soapy water for 30 seconds, hang to dry or dry with clean towel. Can be done when a number of therabands are in “dirty” crate, and/or at end of day
  • Wash hands
  • Make up bed with new linens and 1 pillow (blankets or additional pillow are by request only)
  • After each patient conducts business at the front desk, cleaning of the plexiglass, counter, and moneris machine (if used) is to be conducted, followed by hand washing
  • If the washroom is used, full disinfection will need to be done including door handles, sink, taps, paper towel dispenser, toilet seat, and toilet flusher handle
  • If staff or practitioners use the washroom, please disinfect as above after you are finished
  • At 10, 2, 5, and end of day disinfect high touch areas such as the front door handle/frame, counter, plexiglass, staff room door, staff room counter, your own workstation, sign on spreadsheet
  • End of day – wash floor in gym area and washrooms

Start of Shift Notes

  • ALL STAFF AND PRACTITIONERS MUST do the self-assessment tool before coming to work https://bc.thrive.health/covid19/en 
  • Do NOT touch your face
  • Use doorstops to prop front and back doors open to encourage airflow (unless it is cold :))
  • Turn off heat if you open the door
  • Wash your hands when you arrive at the clinic
  • Answer your Fit for Work Checklist in the communication book – RECORD it
  • Put on mask (one new one provided per day for staff or you can wear your own cloth or disposable)
  • Disinfect your station and ensure there is no sharing of stations (phone, keyboard, computer, etc…)

Patient Phone Procedure

  • Please make sure the following is done when booking OR as part of the online booking monitoring process (each online booking should be contacted the day before to inform of these procedures)
  • Collect all information over the phone including insurance details or claim numbers/injury dates, etc… (email intake form or ask them to phone in their insurance prior to the appointment if they do not have it)
  • Ask COVID questions and document them in their chart!
    • Do you feel well today?
    • Do you have a fever, cough, shortness or breath, or difficulty breathing? (asthma and allergies are fine)
    • Have you been sick or had any of these symptoms in the last 14 days?
    • Have you been in contact with anyone who was sick or had any of these symptoms in the last 14 days?
    • Have you or anyone you have been in close contact with travelled outside BC in the last 14 days?
  • Instruct patient to come alone unless accompanying a minor
    • If patient needs assistance to get into clinic the assister must help them in and then leave – we can call when the appointment is finished
  • Instruct patient of what to expect at their appointment in the following order:
    • Ask patient to use washroom at home
    • Ask patient to call upon arrival and stay in the car
    • Inform them we will ask them to complete a COVID questionnaire via phone at arrival – then they will either be asked to wait in the car while we prepare or we will invite them in right away if we are ready
    • Patients will need to bring a mask and wear it at all times in the clinic
    • IF they forget their mask or don’t have one, they can purchase one from us for a voluntary  minimum donation of $2 with proceeds going to the North Vancouver Food Bank
    • Further information about how to process the money collected will be coming
    • Patients will be asked to go straight to the back to wash their hands upon arrival, then go straight to their assigned room

When patient calls to state their arrival

  • Go through COVID screening form and add in chart – over the phone (Refuse entry to the clinic if they answer yes to any of our questions and book them for 2 weeks later)
    • Do you feel well today?
    • Do you have a fever, cough, shortness or breath, or difficulty breathing?
    • Have you been sick or had any of these symptoms in the last 14 days?
    • Have you been in contact with anyone who was sick or had any of these symptoms in the last 14 days?
    • Have you travelled outside BC in the last 14 days?
  • Describe the procedure:
    • Tell patient to enter through main door off brooksbank ave
    • Please make sure you are wearing your mask
    • You can come in if we are ready or wait for us to call you back or wave at you to come in when it is time and we are ready – NOTE patients who need extra time need to be called in earlier
    • Go straight to the sink to wash your hands, or use the bathroom if sink is in use, or cannot navigate to sink
    • Please go to bed number which one? directly after your hands are washed to wait for your therapist
    • Beds used will be spaced out as we are not using adjacent beds
    • If you need to pay, please stand before the plexiglass guard while dealing with coordinators 
    • Please stay 6’ apart from everyone except your therapist while in the clinic
    • If you do need to use the washroom while at the clinic, please inform your therapist or the coordinators so proper cleaning can be done
    • Please exit the clinic via the side door if you do not need to pay after their visit
    • If you need to make payment, please go to the front desk and see the coordinator at the plexiglass station
    • Booking future appointments should be done online or via phone if possible. If they would like to book when they leave the clinic, that is fine as long as they stand in front of the plexiglass.

IF anyone is showing symptoms of COVID 19, please ask them to leave the clinic immediately and call 811 for guidance (the person showing symptoms). Inform Paige or Sohail, and a coordinator on-site. There will be a coordinated 811 call to establish the required protocol depending on the exposure.

Masks

It is expected that everyone will wear masks in the clinic common areas

It is up to the patient and practitioner if masks are worn INSIDE the treatment room WITH CURTAINS/DOOR CLOSED. It is up to the practitioner if they wish to offer or discuss with patient if they are ok with no mask. 

If the practitioner is not comfortable treating without a mask, then the room may remain open and masks will be worn. 

If the practitioner is comfortable treating without a mask, they are able to

ask the patient if it is acceptable to them to have treatment without a mask. If they are comfortable without a mask, treatment must be done “behind closed doors” for the respect of others in the clinic who may be uncomfortable seeing people in the clinic without masks on. Therefore, before you leave your enclosed treatment area, you must don your masks, using appropriate protocol. For example, if you go to the gym area, you both must be wearing masks. It is the individual’s responsibility to be aware of proper donning and doffing procedure.

Practitioners

 

A suggestion to wear short sleeves so you can wash your arms as necessary

Do NOT touch your face

Confirm consent for treatment with risks of lack of social distancing

Inform the admin staff for the day of patients who need extra time to enter the clinic, wash their hands, and get ready for their treatment (ex.: wheelchair and walker-users)

We will need to stop the cancellation fees for now

Maintain 6’ social distancing where you chart, eat, and have breaks

Do NOT use admin computers, phones, etc.

Avoid the front desk area unless absolutely necessary

Ensure all hot pack covers and towels that touch patient are put in the laundry

Do NOT touch needles and stuff on the carts unless you have just washed your  hands or put on fresh gloves

GYM – disinfect any equipment you or your patients touch. Place therabands and small equipment in crate provided to be cleaned if you do not have time. 

GYM – you and patients should wash your hands after being in gym area especially if your hands are on the floor

 

RMTs

Do NOT touch your face

Open doors for you patients

Disinfect both door handles (in and out) between patients

Disinfect face cradle AGAIN when patient is in room, so they see you do it

Do NOT use thermophores

Recommended that you each have gloves, protective goggles and other commercially available PPE items available if patient requests their use, or if RMT chooses to use them
